Assistant Controller JOB SUMMARY: The Controller is responsible for maintaining oversight of the finance and accounting operations of the company, to include oversight of accounting staff and functions; inclusive of: direct responsibility for monitoring of metrics tied to the financial strategy; optimization of financial systems, controls and cash management; oversight of compliance with grant and contract requirements from a financial perspective; production of periodic financial reports; maintenance of an adequate system of accounting records; and, collaborative oversight of a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the company's reported financial results, and ensure that reported results comply with generally accepted accounting principles.
ESSENTIAL JOB RESPONSIBILITIES: Strategy Provide strategic recommendations to the CFO based on financial analysis and projections, cost identification and allocation, and revenue/expense analysis.
Prepares reporting for board, audit and finance committees.
Financial and Operational Management Prepares and reviews monthly and annual financial statements Produces all financial information for the senior leadership to aid in their decision-making processes Maintain financial record systems in accordance with Generally Accepted Accounting Principles.
Timely and accurate preparation of funders vouchers/claims Review and understand contract agreements with program Vice Presidents and ensure vouchers are prepared in accordance with such contracts.
Reviews account reconciliations and financial analyses timely.
Develop analytical tools to evaluate revenue sources and expenditures.
Perform monthly variance analysis to ensure accurate and timely reporting.
Maintain effective and positive working relationships with funders and program staff to ensure effective, productive relationship for financial reporting.
Oversee grant budgets and compare to actuals and overall agency budget, so as to ensure grant funds are spent timely and accurately.
Works with program Vice Presidents during budgeting process and throughout year to ensure accurate and timely budgeting and reporting for each grant.
Reviews program financials monthly to ensure proper recording of revenues and expenses, and prepares journal entries as needed.
Analyze aging of program receivables to determine collectability.
Oversee communications between Finance, funders and agency management to collect on all outstanding receivables in a timely manner.
Assist with preparation of cash flow and forecasting; prepare financial, project-based, and departmental accounting reports, as needed.
Prepare materials for year-end financial statement and any other audit activities.
Assist in documentation of accounting policies and procedures, and assist program staff in transactional reporting of operations.
Properly record and allocate payroll and benefits activities.
Compliance Prepare information for external auditors for the annual audit.
Prepare materials for program funding audits when they occur.
Ensures that internal controls related to financial operations are operating timely and accurately.
Team Management Oversee accounting staff in administering grants, payables, receivables and fixed assets and any related reporting.
Assist in development of financial skills in program and finance staff.
Provide positive inclusive environment that stimulates learning and growth for all.
